According to article 13 of the General Data Protection Regulation, Copenhagen Business School needs to inform you about processing and storing of your personal data when you apply for a position at Copenhagen Business School.

 

The Agency for Public Finance and Management and Copenhagen Business School are, as respectively system manager for the Government and appointing authority, both responsible for the processing of your personal data in regards to your application through the recruitment system Talent Recruiter, delivered by Talentech. We primarily process and store your personal data with the purpose of evaluating your application for a potential hiring in the position you applied for at Copenhagen Business School. We also store the data to be able to defend any legal claim that may arise concerning, for instance, the discrimination legislation.

 

The legal basis for our processing of your personal data are:

Generally, we process the data you have sent to us related to your application. In addition, we may ask for your consent to obtain references, and in that case, we also process information about you, obtained through your references.

 

In the majority of cases, we only process common personal data such as name, address, phone number, email address, date of birth, gender, professional qualifications, education, previous occupation, possible personality tests etc. Additionally, CPR-number may appear, if you have not deleted it from documents such as exam certificates.

 

We may also process information about your health, if you have indicated this information in relation to your application. Information about health belongs to special categories of personal data in accordance with article 9(1) in the General Data Protection Regulation.

 

If we need sensitive personal data from you, for instance related to personality tests or the obtaining of criminal record, this will only happen following explicit consent from you.

 

The supplier of our recruitment system, Talentech, stores and processes your data for us.

 

Furthermore, your personal data will be processed at Copenhagen Business School by the manager in charge of recruitment, the HR department and the individuals in the appointment committee and possible assessment committee. Your personal data may be passed on to external members of the assessment committee, if your application concerns a position subjected to the use of external evaluators in accordance with the rules on assessment committees. Data may be transferred to countries that are not covered by the European General Data Protection Regulation in case a member of the committee resides in a third-party country.

 

If a recruitment agency is used, relevant members of the agency will likewise have access to your personal data. The same applies if the position is partially financed by another organization.

 

Your data may, aside from the primary recruitment purpose, be used for statistical purposes, including transmission of data to The Ministry of Higher Education and Science about applicants for academic positions from the level of assistant professor and higher.

 

Recruitment cases concerning positions as associate professor and professor will be stored for submission to the Danish National Archives in accordance with ministerial orders.

 

Your application and personal data will be stored in the recruitment system for 24 months from today’s date for the purpose of processing the recruitment case, and the in the case of objections regarding discrimination and incompetence, to ensure the ability to document the recruitment process.
