Service Coordinator

As our new Service Coordinator, you’ll be the crucial link ensuring seamless coordination between engineers, customers, and internal teams at Aasted.


We are looking for a proactive and detail-oriented Service Coordinator to join our Customer Service team in our Aftersales section. In this role, you will be responsible for coordinating travel arrangements, supporting engineers and customers, managing service-related documentation, and ensuring smooth execution of service visits.

You will act as a central point of contact between engineers, the Installation and Commissioning team, and the Customer Service team.

 

Key Responsibilities:

  • Prepare and calculate engineer quotations for sales and service.
  • Support visa and passport applications in collaboration with the I&C team.
  • Arrange and book travel logistics including flights, hotels, and rental cars.
  • Ensure purchase orders are received against quotations and follow up as necessary.
  • Prepare and manage documents related to travels and traveling orders for engineers.
  • Monitor and follow up on financial aspects of projects.
  • Handle shopfloor registration and related documentation.
  • Provide daily support for engineers and customers regarding visit coordination.
  • Plan engineers’ visits in collaboration with the planning coordinator and IC team (service visits, installation jobs, and warranty cases).
  • SLA planning along with our SLA Specialist
  • Organize training and education for engineers, including booking internal and external courses.
  • Manage customer correspondence related to upcoming visits.
  • Coordinate resources from other departments for service-related travel.
  • Working with continuous improvement of our service deliveries identifying possibilities.
  • Perform ad hoc administrative and coordination tasks as needed.


Qualifications & Skills:

  • Technical background, perhaps from a previous position working with Field Service engineers and production sites.
  • Experience in travel coordination, project administration, or a similar role.
  • Strong organizational skills with attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to multitask and manage priorities in a fast-paced environment.
  • Proficiency in MS Office (Excel, Word, Outlook); experience with ERP/CRM systems is a plus.
  • Team-oriented mind-set with a proactive and service-minded approach.
  • Fluency in English and Danish (other languages are a plus).
