Operations Manager for North America

Weibel Scientific is seeking an experienced and highly organized Operations Manager to join our team in North America to oversee the administrative operations on site. You will join a Danish company with a long history in the US market.

Weibel is the leading developer of Doppler radar systems for customers over most the world. We have been experiencing growth over a longer period of time, and are now expanding our activities in North America and that is why we are looking for a colleague to join our growing team.
 

Your key areas of responsibilities will include:

  • Coordination and communication with inter-departmental administrative staff and other team members to support operational needs.
  • Manage business licensing procedures and ensure compliance with regulatory requirements.
  • Develop and implement office policies and procedures to ensure efficient workflow and adherence to company standards.
  • Generation and processing invoices accurately and in a timely manner, coordinating with finance and accounting teams to ensure proper billing and payment procedures.
  • Prepare and manage export/import documentation in compliance with regulatory requirements, while ensuring accuracy and completeness of all export/import paperwork.
  • Plan and execute company events, meetings, and conferences.
  • internal employee activities and external events, including meetings, conferences, and customer engagements.
  • Maintain office supplies inventory and reorder supplies as needed to ensure uninterrupted operations.
  • Coordinate office maintenance, including repairs, cleaning, and facility management.
  • Handle incoming and outgoing correspondence, including mail, email, and phone calls.
  • Assist with human resources functions, such as onboarding new employees, maintaining employee records, and coordinating with human resources staff at company headquarters as required.
  • Manage office budgets and expenses, ensuring cost-effective procurement and spending.
  • Collaborate with other departments to support cross-functional initiatives and projects.
  • Ensure compliance with company policies and regulatory requirements.
  • Maintain organized records and documentation related to administrative activities.
  • Assist with special projects and initiatives as directed by management.

 

Our expectations:

  • Bachelor's degree in business administration, management, or a related field preferred.
  • Proven experience in office management or administrative leadership roles, preferably in the defense contracting or related industry.
  • Familiarity with business licensing procedures and regulations.
  • Proficiency in invoicing systems and financial software.
  • Strong attention to detail and organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with employees at all levels.
  • Proficiency in Microsoft Office suite and other office software applications for accounting/billing and events management, preferably in a corporate or professional services environment.
  • Knowledge of human resources and bookkeeping practices and procedures.
  • Knowledge of export/import documentation and trade compliance is a plus.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to work independently and collaboratively in a team environment.
